WORKFLOW AUTOMATION

Redesign and automate the processes slowing your team down.

We map your workflows, identify where AI and automation make the biggest difference, and build the solution. The result is a process that runs faster, more reliably, and with less manual effort.

Understanding the process is the real work.

Automation isn’t about wiring up triggers between apps. It starts with understanding how your business actually operates — the decision points, the bottlenecks, the edge cases, the things that only one person knows how to do. The technology is the easy part. Getting the process design right is what determines whether the automation actually works six months from now.

Process mapping included

Before any automation is built, we document the current workflow and design the new one. You see exactly what changes, what stays manual, and where AI is involved — and you approve it before work begins.

Built for your real edge cases

We test with your actual data and your actual scenarios, including the weird ones. Automations that only work for the happy path aren’t automations — they’re time bombs.

Post-launch support

Two weeks of support after launch to catch issues, adjust for edge cases, and refine the automation based on how your team actually uses it.

How it works

1

Discovery

We walk through the problem workflow together, mapping decision points, bottlenecks, failure modes, and the actual volume of work involved. We also talk about what “fixed” looks like.

2

Process map and design

A written document showing the current workflow and the proposed new workflow side by side. Every AI touchpoint is marked: what stays manual, what gets automated, what gets augmented with AI assistance.

3

Build and implementation

The automation is built and connected to your systems. This may involve custom code, automation platforms, AI prompts and workflows, or a combination — whatever the process requires.

4

Validation

Testing with real data and real edge cases. Your team uses the automation for several days before we call it done. If something breaks or behaves unexpectedly, we fix it.

5

Handoff

Documentation, walkthrough, and a guide for what to do when something unexpected happens. Two weeks of post-launch support included.

6

Ongoing support (optional)

Businesses evolve and automations need to evolve with them. Many workflow automation clients continue with a maintenance plan for ongoing adjustments and improvements.

Good fit if

  • Your team spends significant time on a repeatable process that feels like it should be faster.
  • You’ve outgrown the spreadsheet or manual workaround that’s been holding things together.
  • You need someone who understands business processes, not just automation tools.
  • You want the automation to actually handle your edge cases, not just the straightforward scenarios.

If you’re not sure which processes to automate first, an AI Audit is a good starting point — it maps the opportunities and helps you prioritize. And if the solution turns out to be a standalone tool rather than a workflow automation, we can scope that as an AI Build.

FAQ

Sometimes automation tools like that are part of the solution, but usually the work is more involved — custom logic, AI decision-making, integrations that require real development. The process mapping upfront determines the right approach.

That’s where the process mapping pays off. We identify the exceptions upfront and design the automation to handle them — or route them to a human when the exception is too complex for automation.

Processes do change. The documentation we provide makes it straightforward to understand what the automation does and where to adjust it. Ongoing maintenance plans are available for teams that want us to manage changes over time.

Yes. Many automations include AI steps — classifying incoming requests, drafting responses, extracting data from documents, making routing decisions. We design these with appropriate guardrails and human review for high-stakes decisions.
